What software do you need as a rental agency in Switzerland?
How do you manage lots of properties and owners?
You add each owner with their properties. For each property, you record what share belongs to them and what fee you charge, as a percentage of the net amount after platform commission or of the accommodation revenue. If a property belongs to several owners, you split the shares. If the terms change, the new rule applies from a set date; previous statements stay as they are.
How do owner statements work?
- Each booking is counted in the month it checks out.
- For each booking, the statement shows the accommodation revenue, platform commission and net amount.
- Cleaning and other fees paid by the guest appear as pass-through items and don't affect the payout. Tourist tax is never included in the statement.
- Your fee and the month's expenses, with receipts, are deducted. The remaining amount, multiplied by the owner's share, is their payout.
- You approve the statement and send it by email. It's ready to print in the owner's language and available as a CSV.
- Guest names and contact details are never included in the statement, only a short booking reference.
Bookings imported from a platform via a calendar link don't include a price, because a calendar link only transfers occupied nights. Check these lines before approving the statement.
How does Stovita schedule cleaning?
For each confirmed booking, Stovita automatically schedules the end-of-stay clean on the departure day, between check-out and the next arrival. It spreads booked interim cleans across the stay. If a booking moves, the clean moves with it. If it's cancelled, the clean is removed. For each property, you add a checklist, such as “Make the beds” or “Clean the sauna and take a photo”.
What can you do in the team app without logging in?
Your team doesn't need an account. Each person gets a personal link that you can disable at any time. The team app runs in a browser in German, French, Italian, English, Portuguese or Spanish. It shows today's and this week's tasks, the address, the checklist and the number of guests arriving next. It never shows guest names.
Cleaners can tick off items, upload photos and report problems. If someone reports damage, this creates a damage case with photos that you can resolve with the guest or platform.
How do you calculate tourist tax for each municipality?
Each municipality has its own tourist tax. In Grindelwald, for example, it's CHF 4.20 per night for guests aged 12 and over. In the canton of Bern, there's also an accommodation levy of CHF 1.00 per night for guests aged 16 and over, which the host pays and may not charge to the guest. In some cantons Airbnb collects the tourist tax itself; in others, it doesn't.
Stovita calculates tourist tax according to the municipality's rules, with the source and effective date. It has details for all 2'110 Swiss municipalities, with rates on file for more than 200 holiday destinations. If a rule is missing, you can add it yourself. Stovita prepares the statements and knows which cantons Airbnb collects the tax in. More: Tourist tax.
How does the guest registration form work?
Anyone who commercially accommodates foreign guests must report them to the cantonal authority, and many cantons require registration for all guests. Stovita sends every guest an online guest registration form that doesn't require an ID photo, reminds them before arrival and archives their details. Find out what the cantons require: Guest registration form.
Stovita counts the nights for each property across all platforms. This helps you track limits such as the 90 days per year that Geneva allows for entire flats listed on platforms.
Does every property get its own website?
Your agency gets its own booking website in German, French, Italian and English, on your domain or at stays.swissactivities.com/your-name. Each property has its own page. The legal notice is created from your details, and analytics runs without cookies.
Guests can make direct enquiries and see the exact final price, including accommodation, cleaning, extras and tourist tax. Once you confirm, a QR-bill is sent. The guest pays you directly by bank transfer, TWINT or cash. Online payment at booking will follow.
How do you keep all the platform calendars in sync?
You connect the calendars for Airbnb, Booking.com, Vrbo, e-domizil and any platform with iCal for each property using calendar links, in both directions. If bookings overlap, you get an email. If a calendar suddenly appears empty, it's put on hold instead of being opened up. How the sync works.
